Advice from the Site Guy for the MVHS (VA) Class of 1960 website
As of the latest page update,
145 individuals (classmates / faculty / schoolmates / guests; combined) have RSVP confirmed, and are $FULLY PAID$
to attend our 50th reunion mid-day picnic at Ft. Hunt Park and / or
our evening banquet at the Sheraton Suites in Alexandria, Virginia on Saturday, June 12, 2010.
Of those 145 individuals, 125 will attend our banquet (20 are picnic only); 26 more alumni have 'promised' for a total of 151 for our banquet.
Therefore we have banquet seats remaining, even adding in our outstanding but unfilled 'promises'.

The kicker is, there are WAY more RSVPs than that which were mailed but have not responded in any way.
Assuming they all 'woke up at the switch' and replied positively, we would be forced to deny registrations en masse.
This has been the inevitable consequence of continued respondant delay;
we have been forced to go with a 'first come, first served' policy in the face of massive RSVP default.
That is why it is imperative that if you haven't returned your RSVP yet,
or, want to attend but never received an RSVP, you need ACT NOW OR LOSE OUT.
Assuming the guest ratio remains constant for any additional RSVP mailings,
we can only safely mail another 9 or so! without over-booking.

If you have been intending to respond but STILL have not, although our picnic space is open-ended,
please understand that unless your attendance choice is 'PICNIC ONLY',
we will have to return your RSVP checks when all banquet seats have been assigned.
PLEASE ACT NOW!!!

This page has been hurriedly added to help RSVPers (read paid attendees),
as well as attendee 'wannabees' for our 50th reunion avoid possible mis-understandings.
As reunion time closes in on us, various issues have cropped up.
Some are pretty silly and we roll with them, but others are more witchy and have the possibility of causing disappointment.
We thought it advisable to highlight them before they cause any further disruptions of our plans.

Please forgive the admittedly rather 'lecturish' tone of this page.
We are only trying to convey hopefully helpful information as quickly as possible.

A. We no longer have time to conduct research into the present whereabouts of any more 'lost' classmates.

If you know classmates who are fence sitting, please remind them that time is VERY short to reserve space for themselves.
We ask all who read this to put the Site Guy in contact with whoever you think may be missing from our mailing list.
A partial list of those we knew about in 2000 but can no longer be sure of is displayed at the bottom of this page.

We originally mailed official RSVP packets to those we had on file from the last reunion in 2000
(if we still had good reason to trust their old postal!)
as well as those who have more recently indicated interest.

Return paperwork from that packet with payment is necessary for make yourself 'real'.

B. Two of our major vendors, both our Ft. Hunt picnic caterer, as well as our banquet facility,
need exact headcounts of expected attendance so they can properly prepare the correct amount of supplies.
An undercount will leave attendees without services, and an overcount needlessly costs the limited reunion fund.
Sheraton requires a close count of meal choices, so please check yours and REMEMBER IT! when ordering.

In the post-holiday rush of RSVPs, we have experienced unexpected headaches.
Although we tried to make the paperwork clear, mis-interpretations of our administrative needs have surfaced.

We have experienced some VERY STRANGE interpretations of the 'rules' lately and thought a little background might help.

All of the problems listed below have already occurred (some several times),
so we wish to alert you to them so that they don't trip you up, too.
If we goof, it will probably hurt you more than us, so please get on our case if we have your information wrong.
We wish to avoid financial and other embarrassment to all by making sure we can all be on the same page.... so here goes -

1. You can't self-invite yourself to the reunion! You can't just unexpectedly show up and sign in at the door.

You can't be invited by email, telephone or by someone else who is already attending.
That you may be receiving 'status' emails does not mean you are automatically invited.
In so many cases, your email is all we have, but you can't be invited except by U.S. mail.
We have received out of the blue email with messages such as, "Hi! We'll be there",
as if they expect to just show up at the door, with guest;
no paperwork, no registration, no guest name / relationship, no meal selection, no bio form, no payment... no nothing.
This short-circuits our very tight planning needs and vendor requirements and is totally unacceptable.
We can't deal with any 'at the door' surprise shows.

If you want to attend, let the Site Guy know and assuming there are still slots available,
you will be sent an official manilla envelope RSVP postal registration package.
Upon our receipt of that registration paperwork, you will be logged in as an official attendee.
An exception is if you have already RSVP and then subsequently want to add events, guests (one only, please) or memorabilia.
Just inform us of additional requirements and send additional funds to cover (again, as long as we have room remaining).

2. If you have previously indicated interest but have not received your RSVP packet,
something has definitely gone wrong at our end.

Again, contact us ASAP, as time is short and banquet seating is quickly diminishing.

3. We have received several return RSVPs indicating a classmate attending WITH a guest, but with payment for just one.

The reunion charge is per person, not per 'party'.
As an example, if you wish to attend only the banquet alone, the fee is $100;
if you bring a guest, that increases to $200.

4. We have received several return RSVPs with a twist on the above.

Payment for one is included, NO guest mentioned... but later fortunately discover almost by accident
that they intend to bring a guest on the assumption that guests are automatically 'included'.
Again, the reunion charge is per person, not per 'party'.

5. These next two, corollaries of each other, are the weirdest and really took us by surprise!

A1. Because in the RSVP we gave a toll-free telephone number for our banquet vendor, Sheraton Suites in Alexandria,
at least one who called in to register for a reduced rate room was under the impression that by registering there,
they were also automatically registered for the reunion itself and need do nothing further.

A2. Alternatively, some who have returned their RSVP registration forms
have assumed that we take care of their possible Sheraton reservation at this end.
But, they are two separate, although parallel processes.
Normally, you receive an RSVP packet through our regular postal channel, then additionally register with Sheraton if desired.
Both processes are pro-actively handled at YOUR end.

B. Some receiving 'status' emails from us have assumed that email = invitation.

For so many, we only have email; so that is how we communicate.
However, without your postal address, you can not be invited.

6. We try to help you help us by providing web site feedback about your requirements.

Our web site is our public data base of record. If you don't see it there, we don't have it.
Please take it seriously, and if we are in error, let us know and we will correct it immediately.

There are three primary pages where our data about you is displayed.

1. First, and most general for the longer term, is your entry on one of the '19nn Track' pages,
where we hope we have listed your class year accurately.

We ask if you are interested in our reunion to check your entry.
If you do not see a 'Data verified...' notation attached to the end of your entry,
that means that even though the data that is there may be correct, you have not pro-actively informed us of that recently,
so that we can't trust our decade old entries, left over from the 40th reunion in 2000; let us know ASAP.
We can't waste postage on uncertain addresses, of which we have experienced way too many so far
- lots of classmates have moved.

2. The second, and most important for your reunion requests, is the 'Attendance50' page.

This page is updated daily as we receive RSVP payments and reflects you, your possible guest (one only, please) and relationship,
which events you are attending and your meal selection at the banquet.
If the information displayed there is not absolutely letter-perfect accurate, again we need to know ASAP.
Again, per our vendor requirements, let the site guy know of any discrepancies.

3. The third and most recent is the 'BioPages50' page, under construction as we speak,
containing images of your page in the forthcoming alumni booklet.
All pages together contain information which will appear on name tags and within our alumni booklet.
We can always update information as displayed on our web site, but once printed, name tags and alumni book bios are forever.
We need your corrections to avoid misprints there as well.

PLEASE check all three pages from the web site and let the Site Guy know NOW of any necessary changes.

REGISTRATION OMISSIONS -

If you indicated a guest but no name or relationship, although we would prefer a name, that's fine; we just indicate 'guest'.
But, if you gave an actual name but no relationship was given, we assume our default of 'spouse' and display them that way.

Similarly, if you left out your meal selection, you are having steak and your guest, if any, is having salmon and it is displayed that way.

Always check the all-important 'Attendance50' page and alert us if we have it wrong.

TIME EXTENTIONS -

You may alter your meal selection by informing us (email preferred) up to the end of May; choices are frozen after that.

You may also cancel your entire attendance, again by email, again by June 1st.
This applies only to the main RSVP fee, as previously ordered memorabilia are already contracted for.

Those who have partially paid an RSVP deposit fee have an additional two weeks
(now up to April 1st) to make good on their intentions.

However, after that date, we must return fees, cancel registration and release seating to those who are waiting.
We need to have this cut-off date because waiting listers need enough time to arrange transportation and lodging.

MEMORABILIA -

T-shirts MUST be ordered in advance with your RSVP and will be distributed both at the picnic and banquet sites.

Both the class photos and video DVDs will be mailed post-reunion.

If you originally decided you didn't want any but change your mind, we will have a sign-up sheet available at both events.
Your quick additional check at that time for additional items will be all that is necessary.

ALUMNI BOOKLETS AND NAME TAGS -

Name tags will display your name (given name for marrieds) and class, with your senior class photo IF we have it.

Alumni booklets will contain your photo, contact data and as much bio data as you returned to us, although in an editted manner.
Warning - so many of you did not return your bio sheet, so we can't dedicate a full page to you.
We do NOT have senior photos for 1955 and 1962-1965 and will insert junior, sophomore, freshman or eighth grade! photos
from earlier Surveyors if we cannot obtain your senior photo in any other way.
I implore volunteers from those classes to physically mail a loaner copy to us so we can obtain these photos.
If you can do this, please don't wait! We needed them yesterday!
As with those already received, they will be returned in good order ASAP.

We were in communication with all of the following in 2000.

Since then, their emails have gone obsolete on us, and as far as we know, they DO NOT EVEN KNOW about our reunion!
That is a heartbreaker, so again we ask, if you can give us ANY current contact data about them, send it along; we will do the rest.
